The Administrative Assistant plays a pivotal role in supporting Divar’s Legal Team and is responsible for a wide range of administrative and legal tasks. These duties include managing the administrative aspects of contracts (from editing to routing for signatures and archiving), handling official correspondence, and following up on matters related to various platforms and systems, such as E-namad, Etehadie, and the Sana system. This position also involves assisting the Legal Team with judicial affairs, including keeping case information up to date and tracking inquiries.&nbsp; At Divar, we are looking for a well-organized, detail-oriented, and responsible individual who excels at time management and task prioritization. This role is ideal for individuals eager to learn and advance in the legal field, serving as a solid stepping-stone in their professional journey.&nbsp; &nbsp; <h3>&nbsp; </h3> <h3>Responsibilities&nbsp;&nbsp; &nbsp; </h3> Contracts&nbsp; <ul> <li>Editing, finalizing, printing, and sending contracts </li> <li>Following up on and obtaining signatures from both parties </li> <li>Scanning and maintaining physical and digital archives of contracts </li> </ul> Correspondence&nbsp; <ul> <li>Editing, printing, and securing the CEO’s signature on documents </li> <li>Scanning, archiving, coordinating the delivery of outgoing letters, and tracking their receipt </li> <li>Receiving, scanning, logging, and directing incoming mail </li> </ul> Panels and Systems&nbsp; <ul> <li>Daily review of E-namad and Etehadie panels, drafting responses, obtaining approvals, and submitting final replies </li> <li>Reviewing the Sana system, updating records, scheduling, and organizing hearings </li> <li>Managing the digital signature platform </li> </ul> Legal Affairs&nbsp; <ul> <li>Periodically review archived legal documents, update litigation tables, and add new documents to relevant case files. </li> <li>Scanning and logging official inquiries and coordinating responses to relevant authorities </li> </ul> Archiving and Documentation&nbsp; <ul> <li>Archiving meeting minutes and legal documents </li> <li>Updating team legal pages and spaces in Confluence </li> </ul> Administrative Coordination&nbsp; <ul> <li>Coordinating the preparation of legal documents with notaries, reviewing and revising draft contracts/legal documents, arranging managerial signatures, and archiving final documents </li> <li>Sending documents requiring translation to translation agencies, coordinating receipt of completed translations, and archiving them </li> </ul> Reporting&nbsp; <ul> <li>Preparing necessary legal team reports </li> <li>Preparing and transmitting urgent documents&nbsp; &nbsp; </li> </ul>
