The Legal Assistant plays a pivotal role in supporting Divar’s Legal Team and is responsible for a wide range of administrative and legal tasks. These duties include managing the administrative aspects of contracts (from editing to routing for signatures and archiving), handling official correspondence, and following up on matters related to various platforms and systems, such as E-namad, Etehadie, and the Sana system. This position also involves assisting the Legal Team with judicial affairs, including keeping case information up to date and tracking inquiries.

Responsibilities
Contracts
- Editing, finalizing, printing, and sending contracts
- Following up on and obtaining signatures from both parties
- Scanning and maintaining physical and digital archives of contracts
Correspondence
- Editing, printing, and securing the CEO’s signature on documents
- Scanning, archiving, coordinating the delivery of outgoing letters, and tracking their receipt
- Receiving, scanning, logging, and directing incoming mail
Panels and Systems
- Daily review of E-namad and Etehadie panels, drafting responses, obtaining approvals, and submitting final replies
- Reviewing the Sana system, updating records, scheduling, and organizing hearings
- Managing the digital signature platform
Legal Affairs
- Periodically review archived legal documents, update litigation tables, and add new documents to relevant case files.
- Scanning and logging official inquiries and coordinating responses to relevant authorities
Archiving and Documentation
- Archiving meeting minutes and legal documents
- Updating team legal pages and spaces in Confluence
Administrative Coordination
- Coordinating the preparation of legal documents with notaries, reviewing and revising draft contracts/legal documents, arranging managerial signatures, and archiving final documents
- Sending documents requiring translation to translation agencies, coordinating receipt of completed translations, and archiving them
Reporting
- Preparing necessary legal team reports
- Preparing and transmitting urgent documents
Requirements
- At least one year of relevant experience in administrative work
- Proficiency in Microsoft Office (Word, Excel) and Google Workspace (Docs, Sheets)
- Strong communication skills and ability to work effectively with team members and external contacts
- Excellent time management, task prioritization, and multitasking abilities
- High level of accuracy, attention to detail, and accountability
- Strong follow-up skills, creativity, and perseverance in solving problems and finding effective solutions
- Capacity to work as part of a team, along with flexibility in a dynamic work environment
- Familiarity with startup ecosystems and online business environments
- Intermediate proficiency in English
