Procurement & Facilities
Divar is seeking a highly talented and experienced individual, or a super-fast learner, to manage our office facilities and operations wholeheartedly. This includes selecting vendors for food snacks and beverages, designing self-service processes, overseeing office cleanliness, liaising with security companies and enhancing their performance, as well as coordinating with third-party contractors for plants, office design, and maintenance projects.
Responsibilities:
Vendor Management for Snacks and Beverages:
- Identify, evaluate, and select vendors for food snacks and beverages, ensuring quality and cost-effectiveness.
- Maintain relationships with suppliers and manage inventory to ensure a continuous supply of snacks and beverages.
- Design and implement efficient self-serving processes in the office.
Office Cleanliness:
- Oversee the cleanliness of the office on a daily basis, working with a small in-house team.
- Arrange and manage outsourced services for deep cleaning as needed.
- Ensure all cleaning standards are met and maintained.
Security Management:
- Liaise with security companies to ensure high-quality performance.
- Monitor and evaluate the performance of security personnel and implement improvements where necessary.
- Manage security operations to ensure a safe and secure working environment.
Plant and Office Design Maintenance:
- Coordinate with third-party contractors for office plants, ensuring they are cared for and maintained.
- Collaborate with office design contractors on projects to enhance the workspace environment.
- Manage office maintenance projects, from planning to execution, ensuring minimal disruption to office operations.
General Office Management:
- Ensure office supplies and equipment are well-stocked and operational.
- Manage budget allocations for facilities-related expenses.
- Respond to and resolve any facilities-related issues promptly.
Requirements
Experience and Skills:
- Proven experience in facilities or office management (specific years of experience if required, e.g., 3+ years).
- Strong vendor management skills and experience in negotiating with suppliers.
- Excellent organizational and time management abilities.
- Capable of leading a small team and outsourcing services as necessary.
- Proficiency in using office management software and tools.
- Strong communication skills and the ability to liaise with multiple stakeholders effectively.
- Experience in handling office design and maintenance projects is a plus.
Education:
- A Bachelor's degree in Business Administration, Management, Facilities Management, or a related field (or equivalent work experience).
